Cancellation Policy

At Tiaki Voyages Tours, we understand that travel plans can change due to unforeseen circumstances. However, since organizing tours involves advance payments to hotels, transportation providers, guides, and other local partners, certain costs are incurred even before the journey begins.

This Cancellation Policy outlines the terms and conditions for cancellations, rescheduling, and refund eligibility. By confirming a booking with us, you agree to comply with the policy as stated below.


1. General Policy Overview

All cancellations must be communicated in writing via email to support@tiakivoyages.com.
Cancellations received verbally or through unofficial channels (e.g., WhatsApp or phone calls only) will not be considered valid.

The date on which the written cancellation is received by Tiaki Voyages Tours will determine the applicable cancellation charges.


2. Cancellation by Traveler

If you decide to cancel your tour for any reason — including personal, medical, family, or professional circumstances — the following charges will apply:

Note:

  • All service charges, taxes, and processing fees are non-refundable.
  • If the trip has already commenced, no refund will be issued for unused services, early departures, or last-minute cancellations.

3. Cancellation by Tiaki Voyages Tours

In rare cases, Tiaki Voyages Tours may cancel a tour due to reasons beyond our control, such as:

  • Natural calamities (e.g., landslides, floods, earthquakes)
  • Political unrest or government restrictions
  • Strikes, riots, or local disturbances
  • Insufficient group size for a scheduled departure
  • Safety or operational concerns

If such a situation arises, we will:

  • Offer you the option to reschedule your trip, or
  • Provide a credit note for future travel, valid for 6 months.

No monetary refund will be processed in such cases.


4. Cancellation Due to Force Majeure

“Force Majeure” refers to events beyond our reasonable control, such as:

  • Natural disasters, epidemics, or pandemics
  • Government orders or travel bans
  • Transportation shutdowns or border closures

In such cases, all refunds will be subject to vendor discretion and actual recoverable amounts from hotels or transport providers.
Tiaki Voyages Tours will not be held financially responsible for losses caused by Force Majeure events.

We will, however, make every effort to offer alternate travel dates or credits for future bookings.


5. Rescheduling and Postponements

If you wish to reschedule or postpone your trip:

  • Requests made 15 days or more before the original travel date can be considered for rescheduling, subject to availability.
  • Rescheduling is allowed only once, and new dates must be within 6 months of the original booking.
  • Any difference in hotel or transport pricing for the new dates must be paid by the traveler.

Tiaki Voyages Tours reserves the right to decline rescheduling if vendors are unable to accommodate the change.


6. Non-Refundable Services

The following services are strictly non-refundable, irrespective of cancellation timing:

  • Advance deposits made to hotels, transporters, or third-party operators.
  • Entrance tickets, safari bookings, or event passes.
  • Any services confirmed during peak season (such as Diwali, Christmas, or New Year holidays).
  • Permits or government fees already issued for restricted destinations (e.g., Sikkim, Bhutan).

7. Refund Processing Time

If a refund is approved, the amount will be processed within 14–21 business days after receiving the official cancellation email.

Refunds will be issued:

  • Through the original mode of payment (if applicable), or
  • As a travel credit for future use.

Please note that bank charges, payment gateway fees, and taxes will be deducted from the refund amount.


8. Partial Cancellations

In the case of partial cancellations — such as dropping one traveler from a group, skipping a particular activity, or shortening the trip — the refund will be calculated based on the unused service and vendor policy.

Tiaki Voyages Tours will make every effort to minimize losses, but full refunds are not guaranteed for partial changes.


9. “No Show” Policy

If a traveler fails to arrive at the departure point or misses any part of the tour due to delay, illness, or any personal reason, it will be treated as a “No Show.”
In such cases, no refund or rescheduling will be applicable, and the full amount will be forfeited.


10. Cancellation Due to Illness or Emergency

If you are unable to travel due to illness, hospitalization, or personal emergencies, Tiaki Voyages Tours may — at its discretion — offer a travel credit for future use.
However, medical certificates or proof will be required, and approval will depend on our vendor’s cancellation policy.


11. Third-Party Bookings

If your booking includes services from third-party operators (airlines, railways, or independent local vendors), their individual cancellation and refund policies will apply in addition to ours.

Tiaki Voyages Tours will assist you in the coordination process but is not liable for third-party refund decisions.


12. Group Bookings

For group tours or corporate packages, separate cancellation rules may apply based on the group size, vendor commitments, and advance payments made.
These terms will be clearly stated in your Group Booking Agreement.


13. Amendments to Policy

Tiaki Voyages Tours reserves the right to modify, amend, or update this Cancellation Policy at any time without prior notice.
